Inviting Users

You add people to an organisation by inviting them. An invitation is for a specific organisation and carries the role you choose.

Send an Invitation

  1. Open the Users area of the organisation.
  2. Choose Invite (the add-user action).
  3. Enter the person's email address.
  4. Choose the role to give them — see Roles and Permissions. You can only assign roles at or below your own.
  5. Send the invitation.

The person appears in the user table straight away with an invited status, and an invitation email is sent to them.

Names aren't asked for here

The invite no longer asks for the person's first and last name. A person's name belongs to their account and is set the first time they sign up or accept an invitation, so invitations only need an email address and a role.

New vs. Existing Users

The invitation experience adapts automatically depending on whether the email address already has a NeonNow account. The recipient receives a tailored invite email:

Existing user, single inviteThe email invites them to join your organisation. They can accept from the email or from their organisation memberships. If they're signed in, they're shown their existing memberships alongside the new one.
Existing user, multiple invitesIf they've been invited to more than one organisation, the join experience shows all the organisations involved.

Either way, once they accept they become a member of your organisation with the role you assigned.

Accepting an Invitation

The invited person can join in two ways:

  • click the link in the invitation email, or
  • open Manage Account → Organisations and choose Join on the pending invitation.

Invitations That Haven't Been Accepted

People you've invited stay visible in the user table until they accept:

  • An invited (pending) member shows an invited status.
  • If a person declines the invitation, they still appear in your user table — declining removes it from their list, not yours.
  • You can resend the invitation to anyone in the invited state, even if they previously declined. Resending makes the pending invitation reappear for them.
